Greenlight Guru Alternative: Enterprise Software Mistake?

Update (04/2026): We've successfully migrated a few companies away from Greenlight Guru and have updated this article with our experiences accordingly.

Greenlight Guru is a popular eQMS software for medical device companies, but it's important to keep in mind any alternatives from other vendors to ensure you don't make the wrong choice, especially given that Greenlight Guru has a historical tendency to raise prices on their existing customers - this prompted some of our customer to actually migrate away from Greenlight Guru. So here's our article on Greenlight Guru alternatives.

Greenlight Guru Alternatives: Two Categories

Roughly speaking, the alternatives to Greenlight Guru can be grouped into two categories: "Other enterprise software" and "more modern software".

Enterprise Software

If you're working at a large enterprise company and your main job consists of not getting fired, it's worthwhile to look at other enterprise software. Why? Because no one ever got fired for purchasing enterprise software, just like "no one got fired to choosing IBM".

Roughly speaking, there aren't huge differences between enterprise eQMS software vendors, so their pros and cons can be grouped together.

Enterprise software pros
  • They've passed audits: Because they've been in the market forever, there's a high chance these eQMS software packages are being used by many companies and have already passed audits. This is probably the #1 important aspect when choosing enterprise eQMS software and optimizing for not getting fired!
  • Lots of meetings to fill your calendar: Because the sales process is intransparent, call-intensive and slow, you'll be sitting in lots of (free) "demo calls" with salespeople from the eQMS vendor, just like with Greenlight Guru. So besides achieving your goal of not getting fired from your company, you also achieve another "side quest" of filling up your calendar with meetings while you don't have to do any actual work - instead, you can lean back and watch the repetitive demos of the enterprise vendors, just like a Twitch stream of a gamer, albeit more boring.
  • Free "retro experience" package: If you grew up in the nineties like I did, you probably reminisce about Windows 95, how snappy it was and the cool first 3D computer games which came out (good times). Purchasing enterprise eQMS software gives you the same experience, because the vendors weirdly haven't come around to updating their user interface yet. So while it's hard to install Windows 95 nowadays, you have a real chance of experiencing the ancient user interface in the year 2026 again if you choose and enterprise eQMS software.

So when looking at alternatives for Greenlight Guru, those are the benefits of choosing enterprise eQMS software in general. Let's look at the drawbacks next:

  • The user interface is ancient and clunky: One of the big benefits above (retro user interface) ends up being one of the biggest drawbacks of enterprise eQMS software! Specifically, you'll be wrestling with ancient user interfaces all day long. Not good if you're actually the person who has to use the software. But might not matter if you're only purchasing it and can delegate using it to other poor souls.
  • Very expensive: In our article on the Greenlight Guru pricing, we noted that Greenlight Guru and other enterprise eQMS software is very expensive. So this might be a real drawback if your company is optimizing for saving money - weirdly, this constraint doesn't seem to apply to all companies though.
  • Not optimized for speed: Enterprise eQMS software has to cater to many enterprise customers at the same time. This puts vendors in a tight spot, because every customer thinks they're some sort of "unique Unicorn" and can request unique features which realistically no one else needs. So the eQMS software becomes a jumbled mess, and the vendor no longer can build an eQMS software which is simple to use and enables user to create medical device documentation in a very fast way.


So those are the pros and cons of enterprise eQMS software alternatives to Greenlight Guru.

More Modern eQMS Software as an Alternative

Besides enterprise eQMS software as an alternative to Greenlight Guru, you also have software which I would roughly describe as "more modern eQMS software".

This software is characterized by having a user interface which looks more modern than Windows 95, and in all seriousness, it also has additional features which legacy enterprise software doesn't have, for example:
  • AI features which enable you to chat with an AI assistant which e.g. answers questions about your QMS and helps you draft documents
  • A text editor (gasp) which means you don't have to download each QMS document and edit it manually in Microsoft Word
  • Predictable, transparent pricing which means you don't have to endure endless repetitive sales and demo calls.

Truthfully, we're biased, as we looked at the broken eQMS software market and decided to build a better alternative, so the only Greenlight Guru alternative I personally can recommend is our eQMS software, Formwork.

It is amazing. With its newest AI features, you can literally chat with it and it answers your QMS questions and even helps you draft and edit documents. It's probably the most fully-featured AI QMS out there, and it's optimized to be used by fast-moving, founder-led teams.

One of the main differentiators between Greenlight Guru and other QMS software solutions is whether the software has an integrated text editor or not. Note that Greenlight Guru does not have an integrated text editor - that means that you have to manually use a text editor (e.g. Microsoft Word) on your computer to create and edit your documents, and only then upload them to Greenlight Guru. If that sounds painful, you might be onto something.

Of all the Greenlight Guru alternatives mentioned above, all of them have a text editor. Regarding free trials, only Formwork and Matrix Requirements have a "try before you buy" feature. And finally, regarding data export, only Formwork allows you to export your data in a structured format if you decide to move your data anywhere else.

Ah yes, time for a disclosure! Formwork is our product (nervous chuckle). We developed it because I personally got annoyed with the shady QMS software market - all vendors typically lock you in with multi-year contracts and don't allow you to export your data in a structured way. Formwork is meant to be different: No commitment (monthly cancellation, online!), export your data any time, unlimited users account for the same price, etc. You should check it out!

Free QMS Software Alternatives

In addition, you also have some free or nearly-free Greenlight Guru alternatives. Note that none of them are specialized QMS software, so you'll have to spend quite some time to "make them compliant" with plugins etc., and even then you run the risk that an auditor might have a different opinion on what "compliant" means for them. The exception to this is Formwork with its free tier - to my knowledge the only QMS software on the market with a free option.

Conclusion

In my personal experience, the biggest reason for companies searching for Greenlight Guru alternatives is the pricing - while there's no official information available, I've heard that it's rather expensive. Most importantly, its price goes up significantly once your company grows and requires more seats.

This is true for Qualio, too. So if you're price-conscious, choose Formwork or one of the "free" tools :)
