Greenlight Guru Price: Crazy Increase (2026 Update)

Update (08/2026): The "package separation" price increases customers reported to us were scheduled to take effect in 2026. Greenlight Guru's current pricing page confirms that Core is required and that all new customers have to purchase onboarding, but it still doesn't show a single price. One important correction: Greenlight Guru already showed the Core-plus-add-ons structure in a 2024 pricing guide, so the public page does not prove when or by how much individual customer prices changed. Those increases remain customer-reported data points. Details below.

Quite a few of our consulting customers are looking for eQMS software and ask us whether we know the Greenlight Guru price. Generally speaking, this information is very hard to come by as their website doesn't explicitly list any prices.

This is very unfortunate, because hinders transparency and makes it very difficult for medical device companies to actually compare offers - they have to schedule a sales call with each eQMS vendor like Greenlight Guru to subsequently receive a custom quote. And even then it's hard to compare those offers as eQMS have different packages and different add-on fees e.g. for additional users.

Suffice to say, it's a very intransparent and shady market!

Here's what we've heard so far from our customers about Greenlight Guru prices. First, a huge and obvious disclaimer: These are things we heard from customers, so don't regard this as any sort of official information from Greenlight Guru - if you want an "official" quote, you'd have to reach out to them. But hopefully our data might give you a rough indication of whether it might suit your budget.

Greenlight Guru Pricing

Short answer: At least $25k - $35k per year. Per Year! That's crazy!

Most of our customers are small startups, i.e. 5-10 people. Those who have told us about Greenlight Guru prices typically mention prices in the range of $25k - $35k per year. Yes, that's right, we're talking a mid-five-digit sum. Per year! And that price only includes a few user seats for the software, typically something like 3-5 "complete" seats which can create and edit documents etc., and another 3-5, um, "non-complete" seats which mostly can only view documents.

If you think that's crazy, that wasn't even it yet!

It's quite likely that this price already includes some sort of "startup" discount. Because their actual price goes up significantly once your company grows and you want to add more seats to your account. We've talked to one company who actually decided to stop using Greenlight Guru because the increased price wouldn't have been feasible for their growing startup.

Looking at the Greenlight Guru pricing page, they have a required Core package and optional packages for product development, quality events (what's that?) and guru services. The page also says that all new customers must purchase one-time onboarding. So yes, the package structure and mandatory onboarding are official. The actual prices and the increases customers reported to us are not.

Another small but important detail: The page lists "300 documents included", "user configuration (10 users)" and "training set-up (10 requirements)" under system migration. That's an onboarding allowance, not necessarily a 10-user limit on the subscription itself. And Greenlight Guru's own 2024 pricing guide already showed Core as a prerequisite for the other packages. So the website confirms today's packaging, but it doesn't confirm that this packaging was invented in 2026 or that every customer received the same price increase. Unfortunately, none of the packages have a price tag attached and you're still left with a "Talk to Sales" button to get an individual offer. These sort of intransparent enterprise sales practices try to extract as much money out of your company as possible. Not cool.

In the meantime, a Greenlight Guru customer reached out to me to provide us with another data point on pricing. Here's what they wrote - I redacted some information for the sake of anonymity:


 I can say that Greenlight Guru for 15-20 full and ~10 lite users was between $50k and $60k last year. For documents, change, training, projects, risk, supplier management, analytics. We got them to knock it down quite a bit for our use case, but still too much.
 For our use case, the negotiated price is still too much for 2 active clients that we have, and we are a small company. So we are going to discontinue use when the contract runs out. It had started at a little more than $20K per year the first year, then hit $30K, but kept increasing year over year in 3 years, the add-ons and increases just piled on quickly. We added a few personnel and next thing you know, price was $58K.



So that's crazy - the lock-in is in full effect here. Initially, the price was low, but once the add-ons and additional user seats came into play, the price went up dramatically - by more than 100% here ($20k --> $50-60k)!

I've found one more data point from reddit in the meantime:

So from what I gather, eQMS solutions like Greenlight Guru, Mastercontrol, Qualio, etc. have a starting cost of around ~$15K USD per year and can increase exponentially upto 50-60K easily as the users increase. Plus there is the lock in period in most of these contracts.

This one also aligns with the one above, i.e. that the "median" price moves towards $50-60k / year (still crazy), and that Greenlight Guru offers a more-or-less affordable entry-level price at ~$15k / year, which however scales up rapidly once your company grows and needs more user seats.

So that's the situation regarding pricing. But there's more!

Greenlight Guru Minimum Commitment / Contract Duration

The typical minimum contract durations we've heard from Greenlight Guru are 2-3 years. Yep. And guess what, you have to make this decision without ever getting a trial account as they only show you a demo in a sales call.

So, let me spell this out for you again: Are you willing to commit ~$60k in total to a software which you haven't tried out yourself, only based on a shiny sales demo with a salesperson who doesn't even know much about medical device compliance?

Well.. good luck.

Personally, I think that any software as a service (SaaS) should have a monthly cancellation option, because in the fast-moving world of startups, who knows whether you need a software in 3, 6 or 12 months!

The final point I'd like to talk about is lock-in.

Greenlight Guru Lock-In

Correction: Greenlight Guru's current Core package advertises "Data Exports & APIs", so our old claim that there was no structured export was too categorical. The public page doesn't explain whether a complete export includes every relationship, review and approval in an importable format. If you're evaluating it, ask sales to export a real sample project for you. An actual file tells you more about lock-in than a checkmark on a pricing page.

The contractual lock-in remains: We've heard of two-to-three-year commitments, and a technically possible migration can still be a lot of work. But no, it isn't fair to say that your data can never be exported.

Conclusion: Purchasing Greenlight Guru

To sum up, purchase Greenlight Guru if:
  • You're willing to spend ~30k$ per year on a software
  • You're willing to make that decision based only on a sales call without a trial of the software
  • You're willing to get locked in and see prices go up significantly when your company grows.

As you might have noticed, it's a shady industry.

And even our top tier at 499€ / month with unlimited users - the one growing companies choose once they need more than a handful of seats - comes in at roughly a quarter of Greenlight Guru's entry price. Yep. I guess you should check it out unless you're willing to overspend on your eQMS software.

Update: The 12/2025 "Package Separation" +100% Price Increase

Update (08/2026): The customer quotes below said the new prices would take effect in 2026. The current pricing page confirms required Core, add-on packages and mandatory onboarding, but not the +100% increase. In fact, a 2024 Greenlight Guru guide already showed the same package names. So: The packaging is public; the price increase is based on customer quotes.

In December 2025, we've had a few interesting calls with Greenlight Guru customers who reported that Greenlight Guru is significantly raising their prices starting in 2026. We even have one data point where the customer's price would double (!), leading to a +100% increase in price. Crazy!

Besides this price increase being extremely steep, what leaves a bad taste is that this isn't communicate as transparently as it could be. Towards its customers, Greenlight Guru sells this as a "package separation". This means that a customer which formerly just was subscribed to one Greenlight Guru package (say, QMS and technical documentation) now has to subscribe to three Greenlight Guru packages. The kicker is that those three packages contain the exact same features like the one "legacy" package!

So the customer isn't getting any additional value (as in features) out of this, yet has to foot a bill which is now double (worst case) of the prior bill.

We can only speculate as to what the reasons behind this might have been. One theory could be that Greenlight Guru is in financial difficulty and has to seriously boost its revenue. Another possibility could be that they simply want to improve their revenue numbers before an upcoming sale of the company or IPO. I don't know.

But regardless of reasons, all of those scenarios don't sound good for current and future Greenlight Guru customers. If you're a current customer, chances are high that you'll be hit with a price increase soon. And if you're considering Greenlight Guru as a future customer, it's unclear whether Greenlight Guru is a safe, stable choice, given their tendency to increase prices significantly for current customers like this.

By the way: We've never increased prices for our eQMS software, Formwork. You should check it out. And, what a great coincidence, we actually offer a free migration service if you'd like to significantly reduce your spending on your eQMS! In contrast to Greenlight Guru, there's no lock-in with our software: You can cancel monthly and export your data any time. But then again, there might not be a reason to, as we don't do things like raise prices for current customers :)
