Anecdotally, Greenlight Guru is one of the most popular eQMS software solutions out there. I don’t have any hard data to back this up (the whole industry is ridiculously opaque), but based on my talks with English-speaking customers, Greenlight Guru is often mentioned as a QMS software they’re looking into. So let’s take a look at it and see how it compares to other QMS software out there!
Greenlight Guru Products
First off, Greenlight Guru targets companies in the medtech space. On their website, they offer to distinct products:
- Greenlight Guru Quality, targeted towards medical device manufacturers who want to set up their quality management system (QMS)
- Greenlight Guru Clinical, targeted towards institutions which perform clinical studies.
As we’re comparing QMS software here, we’ll focus on Greenlight Guru Quality.
Features
Looking at their QMS software product, here are the features it provides:
- Document management: In theory, document management includes all the basic features you need for setting up a QMS, i.e. creating documents, sending them for approval, and performing FDA-compliant e-signatures. While most of these features are included, there’s one major drawback: Greenlight Guru doesn’t include a rich-text editor. This means that you have to create documents on your own computer (!), e.g. with Microsoft Word (?!), and then upload them to Greenlight Guru. This is a very clunky workflow as it prohibits collaborative editing of documents.
- Requirements management and device history file: You can keep track of your product requirements and link them to tests. In other words, a pretty standard requirements management tool.
- Training: Create trainings and tests (e.g. questionnaires) for your employees.
- SOP templates: Start drafting your documentation with a set of templates provided by them.
Greenlight Guru Pricing
The pricing structure is very opaque – you have to contact their sales team and schedule a demo, after which they’ll provide you with a customized quote. As with all (rather shady) enterprise sales, the goal here is to extract as much money out of your company as possible. I’ve heard from companies in developing countries receiving substantially lower prices for the same package than American or European companies. The intransparency here is very frustrating.
Another frustrating aspect is that the price will go up once your company grows – as soon as you need more user seats or additional features (they call them “Add-ons”), your price will likely go up dramatically. We know of one instance where the price went up by more than 100% for a customer.

Validation
If you’re using any sort of QMS software, you have to show your auditors that this software has been “validated”. As far as we know, Greenlight Guru provides this and uses this as a selling point, stating that it takes “hundreds / thousands of person-hours to validate”. This, however, is simply not true: Based on our experience from many audits, software validation is fairly easy to do, so don’t be scared of it, and don’t trust QMS software manufacturers if they claim that only their validation will pass an audit.
As it turns out, you can even validate your own QMS software, e.g. if you’re using a “generic” software like Google Drive or Jira / Confluence.
Free Trial?
Like many enterprise eQMS software providers, Greenlight Guru unfortunately doesn’t offer any sort of free trial. They do have a clickable product tour on their website though. But.. that’s about it.
There’s no free trial, so you can’t try before you buy and will have to make your purchase decision based on a demo call with a salesperson. This sucks a lot, given that your purchase likely will be very expensive and you’ll be locked in for one or multiple years contractually. It’s pretty incredible that customers think this is acceptable.
Lock-In
One major problem of eQMS software is that they tend to lock in their customers for a long period of time. This is very beneficial.. for the eQMS software provider. Because it provides a lot of revenue for a long time. Briefly speaking, there are two ways of locking customers in.
- Contractual lock-in: Only offering the software for a minimum contract duration. From our experience, we’ve heard of Greenlight Guru contracts with a minimum duration of one to three years. That’s crazy! Because you make this one-to-three-year-decision based on only a demo call with a salesperson.
- Technical lock-in: Most eQMS vendors don’t offer any feature to export your data in a structured way. So while you can export some of your data in theory, mainly by saving PDFs and copy-pasting stuff, there’s no way to export all of your data in a machine-readable way to e.g. import it into another eQMS software. To our knowledge, Greenlight Guru doesn’t offer this sort of structured export, so migrating to another eQMS software will be quite some work on your side.
So, regarding lock-in, Greenlight Guru doesn’t score particularly well.
Greenlight Guru Pros And Cons
So, should you choose it as your QMS software? Let’s summarize the pros and cons.
Pros
- Probably low risk: One of the most commonly chosen software, at least when it comes to English-speaking countries and FDA approvals.
Cons
- Likely high price, opaque pricing structure: Based on our data points, the price is high, and they don’t publish their prices online, so there’s no transparency.
- Price goes up dramatically if you grow: While initial prices might be acceptable, your subscription price goes up dramatically once you need more features and user seats.
- Contractual and technical lock-in: Contracts durations are between one and three years, based on our experience. So once you decide to purchase, you’re locked in for a long time. On a technical level, it’s unclear whether you can export your data in a structured way, so that might be another mechanism of lock-in.
Conclusion
Should you choose Greenlight Guru? Well, that’s up to you. Would I choose Greenlight Guru? Maybe, like, 5 years ago, when options for QMS software were still fairly limited, I might have chosen their software if I had been targeting FDA compliance, which is their main goal.
Nowadays, however, there are better options on the table – that’s because many people, including me, grew quite frustrated with the state of the eQMS software industry due to all reasons mentioned above: Crazy lock-in, intransparent pricing and no option to try before you buy.
