AI Usage & Limits

Switching the assistant on, the weekly prompt budget per plan, what counts against it and what doesn't, and where to see usage.

Switching the AI Assistant on

The AI Assistant and the AI Document Editor are off for a new company. A company admin switches them on once, under Settings → AI usage → Enable AI Assistant. Until then, the AI Assistant page tells everyone that an admin needs to enable it.

There is currently no switch to turn it off again; if you need that, contact support.

Connecting your own AI via MCP does not depend on this setting and works on every plan.

The weekly prompt budget

The AI Assistant and the AI Document Editor share one budget per company (not per user), counted per calendar week and reset every Monday:

What counts as one prompt: each message you send to the AI Assistant, and each request you send in the AI Document Editor. Whatever the AI does to answer (searching, reading ten documents, creating five hazards) is part of that one prompt.

What does not count:

  • Anything your own AI does through MCP (Claude, ChatGPT, Codex, scripts). MCP has no budget.
  • The Autogenerate buttons on user needs, requirements, tests and descriptions, the AI Fix button on release sanity checks, and quiz generation for trainings.
  • One-Click QMS generation and the AI-generated content when creating a product.
  • Converting an uploaded PDF into a native document.

Seeing where you stand

Settings → AI usage shows the prompts used this week against your plan's limit as a bar; it turns amber at 75 % and red when the budget is used up. The AI Document Editor shows the same count in its sidebar.

When the budget is used up

The AI Assistant and the AI Document Editor stop accepting new prompts until the week resets. The composer is replaced by a notice saying so; nothing you already created is affected. On Community and Starter, the notice points to Billing, where a higher plan lifts the limit immediately. On QMS & TechDoc and Pro, contact support if you hit the ceiling; it is set far above normal use.

Good to know

  • Chats you started stay readable when the budget is exhausted; only sending new messages is paused.
  • The budget is shared by everyone in the company. If a colleague is doing a big cleanup with the assistant, the counter moves for all of you.
  • A prompt that fails ("Something went wrong. Please try again.") still counts, since the work was attempted. Retries are rare; if they aren't, tell support.
  • Your data is processed by OpenAI's models to answer prompts and is not used to train any model. Nothing is sent unless you use an AI feature.
