Formwork uses AI in a handful of well-defined places. None of them acts on its own: every AI feature is something you start, and anything AI writes into your reviewable content - documents, records, design and risk items, CAPAs, change requests - lands in Formwork as a draft for you to review. Housekeeping items that have no review lifecycle, such as tasks, folders, roles, trainings and comments, are created directly, exactly as if you had created them yourself. AI never approves, releases, rejects, archives or deletes anything.

Beyond these, Formwork offers AI generation at specific points of the product workflow: generating a whole QMS when you start, scaffolding technical documentation for a new product, "Autogenerate" buttons on user needs, requirements and tests, AI-written descriptions, quiz questions for trainings, and converting uploaded PDFs into editable documents. What every AI feature has in common
- It acts as you. AI features see what you can see and change only what you could change, in the company you are working in.
- Drafts for reviewable content. Documents, records, design and risk items, CAPAs and change requests created or changed by AI are drafts. Items without a review lifecycle - tasks, folders, roles, trainings, comments - are created directly and take effect immediately; an assigned task, for example, notifies its assignees like any other task. Approved and released items are never modified; where a change is needed, a new draft version is created.
- The AI Assistant and the AI Document Editor need to be switched on by a company admin and share a weekly prompt budget that depends on your plan. Connecting your own AI via MCP works on every plan and has no budget of its own.
- Your data is processed by OpenAI's models to answer your requests. It is not used to train any model. See the privacy policy and your data processing agreement for the details.
